About rtCamp

rtCamp is a globally respected technology company renowned for delivering enterprise-grade open-source web solutions. Since its founding in 2009, rtCamp has carved a niche as a trusted partner for performance-driven, scalable platforms—especially those built with WordPress. Over the years, the company has expanded its expertise beyond WordPress, embracing modern web development practices and a broader suite of open-source technologies.

In a natural extension of its philosophy, rtCamp has recently become a Frappe Certified Partner. This partnership reflects its commitment to open-source innovation and highlights its internal journey of optimizing operations—spanning HR, recruitment, CRM, and project management—using ERPNext. It also marks the beginning of rtCamp’s mission to help other organizations adopt flexible, cost-effective ERP solutions tailored to their needs.

The Challenge

As rtCamp grew, so did the complexity of its internal operations. Teams across departments began adopting specialized SaaS tools:

  • Recruitee for hiring and applicant tracking
  • Keka for HR and employee management
  • Pipedrive for CRM and sales

While each platform was effective on its own, together they created new challenges:

  • Data Duplication: Information was scattered across tools, requiring manual syncing and frequent reconciliation.
  • Siloed Processes: Leadership struggled with fragmented visibility across departments, complicating decision-making.
  • Cost Overheads: Multiple subscriptions drove up operational expenses without offering unified control.
  • Workflow Inflexibility: Customizing tools to fit rtCamp’s evolving needs proved difficult.
  • Disjointed User Experience: For a tech-savvy team used to seamless workflows, switching between tools became disruptive.

rtCamp needed a centralized, customizable, and scalable solution that could unify these critical functions without sacrificing control.

The ERPNext Solution

Realizing the inefficiencies of the SaaS sprawl, Rahul Bansal, Founder & CEO of rtCamp, led the company’s shift toward a unified, open-source approach—mirroring the same digital freedom they promote to clients.

Working with an internal team of developers and analysts, rtCamp rolled out a phased migration plan. They mapped all current tools, identified overlaps, and gradually shifted operations to ERPNext, built on the Frappe framework.

Here’s how ERPNext addressed their needs:

  • One Unified Platform: Recruitment, HR, CRM, and project tracking—all centralized under a single system.
  • Tailored Customizations: Leveraging Frappe, rtCamp extended core modules to match its internal processes—like custom evaluation flows for candidates and dynamic billing based on employee roles.
  • Seamless Automation: Workflows became interconnected. For instance, hiring a candidate auto-enrolls them in the HR and onboarding systems.
  • Improved Visibility: Leadership and team leads gained real-time dashboards for open roles, team allocations, sales pipelines, and revenue forecasts.
  • Cost Efficiency: Replacing expensive SaaS tools with ERPNext led to significant savings and full ownership of data and systems.

The Impact

The transition to ERPNext delivered both immediate and long-term gains:

  • Significant cost savings by eliminating SaaS licenses (Recruitee, Keka, Pipedrive, etc.)
  • 30–40% reduction in weekly operational time through automation and integration
  • Improved cross-functional collaboration and smoother onboarding for new hires and clients
  • Greater agility to roll out internal tools, workflows, and process improvements
  • Open-source innovation: rtCamp developed and released reusable apps like
    • [Frappe Appointments]
    • [Next CRM]
    • [Subscription Manager]
All of which originated from internal needs and are now shared with the open-source community.

Looking Ahead

This successful in-house transformation laid the groundwork for rtCamp’s official recognition as a Frappe Certified Partner in 2024. Today, rtCamp is helping other organizations replicate the same operational efficiency by implementing ERPNext—proving that open-source solutions aren’t just powerful, they’re practical.

Modules implemented

“It’s highly customizable and scalable, with support for external apps (more like plugins). We have used ERPNext to replace our accounting (Xero), HRMS (Keka), payroll solution (Greytip) ATS (Recruitee), PMS (ActiveCollab), time tracking (Everhour), CRM (Pipedrive) and dozens of spreadsheets. And we are not even done yet. Saving literally tens of thousands of dollars in SaaS subscription, we also benefit from an integrated, yet modular platform. Since ERPNext doesn’t have per-user pricing, more information can be shared directly with stakeholders across the board.”
